2. Final concert invitation

If you register on the benefit-concert page, we process your name, email address, preferred language, registration date and time, the consent text accepted through the required checkbox, and—if you withdraw—your withdrawal date and time. The registration system does not add your IP address to the invitation register.

Purpose: to record your request and send one final Roots of Music benefit-concert invitation with ticket, programme and livestream information. The address will not be used for newsletters, fundraising mail or unrelated projects.

Legal basis: your consent under Article 6(1)(a) GDPR. The consent record is kept so that musicWays Germany e.V. can demonstrate the consent in accordance with Article 7(1) GDPR.

Recipients: authorised members of musicWays Germany e.V. who organise the event, and STRATO as the hosting and email service provider acting under the applicable data-processing arrangements. We do not sell the data.

Withdrawal: every confirmation email contains a personalised withdrawal link. Opening that link does not change anything; the withdrawal is recorded only after you confirm it on the page. You may also email info@musicways-germany.de. Withdrawal applies for the future and does not affect processing carried out before it.

Retention: withdrawn addresses are excluded from invitation exports immediately. The concert invitation register, including withdrawal records, is deleted no later than 30 June 2027, unless a longer period is required to establish, exercise or defend legal claims.

3. Hosting and server logs

When you access the website, the hosting provider may process technical connection data such as IP address, date and time, requested page, referrer, browser and operating system. This is necessary to deliver the website securely and reliably. The legal basis is Article 6(1)(f) GDPR; the legitimate interest is secure operation and protection against misuse. Log retention is governed by the configured STRATO hosting service and applicable provider arrangements.

4. Language setting and local storage

The selected German or English language is stored locally in your browser so the website can remember your choice. This setting remains on your device and can be removed through your browser settings. No analytics or advertising cookies are used on this project website.

5. Interactive map and external media

The interactive tour map loads map and terrain tiles from OpenFreeMap and Mapterhorn; an Amazon Web Services endpoint may be used as a technical terrain fallback. When the map is opened, these providers receive connection data needed to deliver the requested files, including your IP address and request details. The map is not required to use the rest of the website.

The livestream page does not load YouTube while no official stream is configured. If a stream is activated later, it will use YouTube's privacy-enhanced domain. YouTube may process connection data when the embedded player is loaded. External websites receive data only when you follow the relevant link.

6. Your rights

Subject to the statutory requirements, you have rights of access, rectification, erasure, restriction of processing, data portability and objection. Where processing is based on consent, you may withdraw that consent at any time. Contact info@musicways-germany.de to exercise your rights.

You also have the right to complain to a data-protection supervisory authority. The competent authority for musicWays Germany e.V. is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia (LDI NRW).
